Dashboard Examples in ClickUp Blog

A Beginner’s Guide to Dashboards in ClickUp (With 15 Use Case Examples)

You’ve spent hours sizing and resizing charts while agonizing over too much or too little data. It’s painful to create a dashboard from scratch and arguably more painful to look at it and understand the data’s story.

That’s why companies who want high-level visualization and insight into their company’s activities invest in the best resources—like a mission control center in ClickUp—to create interactive dashboards that tell the oddities, patterns, and trends in the data story.

Dashboards in ClickUp bring together sources of information to quickly access data in real-time, understand popular metrics, spot bottlenecks in workflows, and more.

By the end of this article, you’ll learn:

  • How to appropriately match your reporting type with a widget in ClickUp Dashboards
  • Best practices for ClickUp Dashboard design and function
  • Multiple ways to show the same desired KPI
  • Guiding questions to ask as you build your ClickUp Dashboard

Let’s get started!

📊 What are Dashboards in ClickUp?

Dashboards in ClickUp minimize the noise we typically see from status reports sent in by direct reports recapping what we already know about the project. As a single source of truth, a ClickUp Dashboard adds value by doubling as a task manager and reporting tool where you can:

  • Quickly scan the Dashboard to understand the main takeaway
  • Edit tasks, workloads, and within the Dashboard to fix oddities
  • Add notes to provide missing context
  • Host discussions to keep project communication in one place, and more

Insanely powerful and unrivaled, you can build better versions of the same Dashboard over time with minimal effort as company KPIs shift or team members change.

🖱 How many clicks does it take to get to the metric your audience is looking for?

Your report is meaningless if your audience has to sift for information. ClickUp Dashboards provide central access to data sources without the fluff, so you’re communicating key insights.

⚖️ Workload balance

When you’re approached by a person on your team asking for due date extensions, naturally, you’ll pull up their task list and adjust. Unfortunately, while your proactiveness has the right intention, the result could have negative impacts.

Connect with others on the team first to explain a timeline shift because of workload capacities. Then, they’ll have an opportunity to raise any flags, so progress isn’t disrupted.

👀 Scannability

If your audience can’t tell what your Dashboard is communicating within the first ten seconds, you’ve lost them. It helps to know what KPIs they need to know and what information is most important to them.

📈 Real-time data

Half the battle in creating any type of reporting is where to pull sources of information. Are you manually connecting the dots? Try automating the process as much as possible so you’re not wasting time.

Suppose you’re not typically the person who volunteers setting up and performing maintenance of project reporting because it’s hard to understand (aka boring). In that case, you’ll be impressed with customizable reporting widgets in ClickUp Dashboards.

Widgets are the building blocks of ClickUp Dashboards and where the customization fun begins. At first glance, it may look intimidating because there are so many to choose from, but that’s the secret sauce: it’s not limited to any workflow. Later, we’ll walk through a Dashboard formula to demonstrate.

If you’re new to Dashboards in ClickUp, let’s cover popular widgets to spark some ideas for your Dashboard!

👣 A ClickUp Dashboard Formula to Follow

If you wonder how to set up your ClickUp Dashboard that checks off your design and function expectations, you’re not alone. There are businesses like yours who are new to ClickUp or haven’t tapped into the full potential of ClickUp Dashboards.

Disclaimer: the most challenging part of this process is going to be the beginning. This is the biggest problem with any type of reporting:

If you don’t understand the goal of your Dashboard, you will drop it like a hot potato within the first week.

Below is a straightforward formula you can use to start your Dashboard creation on the right foot.

Remember: the end goal should always be to communicate key insights quickly, clearly, and powerfully. ⭐️

Ready to see it in action? Our example will be a Dashboard objective we can all use right away: Work Goals.

how to create a dashboard in clickup

1️⃣ Define your Dashboard audience and data story

  • Title: My Goals
  • Audience: Myself
  • Problem: I don’t know if I’m working on tasks that actually contribute to company initiatives.
  • Data story: I want a single source of truth to view my weekly tasks.

Not a bad start, but we can do better:

  • Title: My Weekly Goals
  • Audience: Myself
  • Data story: I want a single source of truth to view my weekly tasks related to Q4 company objectives.

Now our data story is clear—which is the most critical step in our build. Without this clarity, we could create confusion and frustration when focusing on the wrong things.

2️⃣ Choose the right KPIs to support the data story

  • KPI #1: Number of tasks in progress
  • KPI #2: Weekly scorecard of targets
  • KPI #3: Number of tasks overdue
  • KPI #4: Q4 company objectives List
  • KPI #5: Task status breakdown

Spend some time getting your KPIs down and refer to your data story if you’re feeling stuck. The more specific you are, the better your time is spent.

3️⃣ Select the widget for the reporting type

KPI #1: Number of tasks in progress

I am looking for the total number of tasks in progress for this KPI, so I’ll use the Calculation widget.

clickup dashboard

via ClickUp

We’re doing great! Let’s keep going!

KPI #2: Weekly scorecard of targets

The Goals widget is perfect for this!

clickup dashboard

via ClickUp

We have to click on the scorecard to view my targets. Maybe we can take this a step further and show the actual scorecard since we only need one. So instead of the Goals widget, let’s use the Custom Embed widget.

via ClickUp

That’s much better! Fewer clicks. 😉

KPI #3: Number of tasks overdue

Similar to our first KPI, we need the Calculation widget to view the total number.

Have you done this before?💪

KPI #4: Q4 company objectives List

Another Custom Embed widget will work for this KPI. We’ll be able to edit the Doc from our Dashboard.

KPI #5: Task status breakdown

A pie chart will work for this KPI to see where the bulk of my tasks are living.

4️⃣ Organize your widgets to create a visual hierarchy and balance

Now we begin customizing our Dashboard layout!

This part of the formula will take a few tries but remembering that our overarching goal is to communicate key insights quickly, clearly, and powerfully will keep us in the right direction.

Version 1

via ClickUp

How does this look? 🤔

  1. Functionality thoughts:
    1. All important widgets are above the fold, so I don’t have to scroll down
    2. Widgets display the KPIs I need
  2. Visual thoughts:
    1. Not the best layout to see Weekly Targets next to Q4 Goals (which is our data story)
    2. The Workload by Status widget is small and at the bottom

Let’s try again!

Version 2

5️⃣ Ask your audience for feedback

Let’s go through our previous thoughts.

  1. Functionality thoughts:
    1. All important widgets are above the fold, so I don’t have to scroll down ✅
    2. Widgets display the KPIs I need ✅
  2. Visual thoughts:
    1. Not the best layout to see Weekly Targets next to Q4 Goals, which is most important (Our Weekly Targets and Creative Q4 Goals widgets are next to each other, so this doubles points for visual and functionality! ✅)
    2. The Workload by Status widget is small and at the bottom (Our pie chart is at the top to quickly glance at the progress! ✅)
    3. Our Dashboard is easy to read from left to right ✅
