For example, when an assignee on a project in ClickUp changes, the related deal in HubSpot will automatically get updated so customer-facing teams are in the loop on who their new point of contact is.

With the new integration, ClickUp customers can align projects and activities to the status of a customer, or to the stage of the customer journey. For example, when a deal closes in HubSpot, a fully-templated onboarding project can be automatically created within ClickUp.

This helps enable a professional services team to manage the onboarding process while giving visibility to key stakeholders as to how the project is progressing. Or in the example below, a change in deal status in HubSpot can trigger an outreach initiative managed through a ClickUp task!

Project teams can now always refer back to a deal directly within ClickUp so they can keep tabs on how their work has impacted the success of a customer. Linked HubSpot Deals and Objects will be directly linked within tasks and subtasks as relationships between your customers and their projects.

We understand that your employees are your most important asset (we feel the same!) and it’s important for them to like the tools they use. We want the time that they spend in ClickUp to be enjoyable and that’s why we’re committed to improving the stability and usability of our platform. It’s important to us that we are offering you the best and most reliable possible product experience.

Over the past several months, we have made incredible progress toward making ClickUp even more reliable and easier to use. Today, I am delighted to share some of the most transformational milestones that we’ve achieved.

Laying a Strong Foundation

Before we dive into the technology improvements, I think it’s important to acknowledge some of the changes we’ve made at an organizational level. It has been a massive priority for us to get more talent in the doors at ClickUp—especially in roles that directly impact your experience.

We have been actively investing in our engineering and support staff and over the last year, we hired more than 150 engineers to help support our development efforts. As part of this effort, we brought in two seasoned VPs of Engineering—Gennadiy Geyfman and Chirag Chheda—both of whom bring incredible experience building platforms at massive scale at companies like Lyft, Facebook, Amazon, Salesforce, and Microsoft. Gennadiy is focused on stabilizing our platform as we grow, while Chirag is scaling ClickUp’s product engineering organization.

We also hired a Global VP of Customer Success, Joel Huntington, who joins us from Qualtrics to oversee the global customer service team. This team is dedicated to helping customers drive greater productivity using ClickUp and serve as powerful advocates by educating them on best practices and ensuring they feel fully supported. Joel joins ClickUp after five years at Qualtrics.

Rebuilding and Reinforcing

While we place an immense amount of value in the people of ClickUp that are moving our mission forward, I know you all came to this blog for an update on the ClickUp platform and we have a lot of exciting updates to share. Here’s an overview of what we’ve accomplished over the last few months alone:

  • Achieved and Exceeded Uptime Goals: We are trending toward exceeding 99.9% uptime every month in most of our products and services, ensuring consistency in accessing and refreshing tasks, attachments, and data within ClickUp. This means that you can expect a more reliable, smoother, and consistent experience.
  • Lock Solid Security: We completed the formal certification of ISO 27001:2013, ISO 27017:2015, and ISO 27018:2019. These certifications prove ClickUp’s commitment to security, privacy, quality, and trust for our customers. We’re proud of these certifications because we know how important it is for your work to be secure. It also serves as evidence that we are well ahead of the competition and other platforms in this space when it comes to security.
  • Platform Sharding: We are continuing an ongoing effort to re-architect our platform around smaller, more geographically dispersed databases – a process known as sharding. By doing so, we will be able to guarantee high performance and reliability as we continue to scale.
  • Improved Load Times: Last quarter we made some significant improvements as it relates to the load times of views including our Home, Workload view, Board view, and notifications page. With improved page load times, you’ll be able to access work more quickly and reliably.
  • New and Improved Search: Following our Slapdash acquisition, we revamped our search capabilities. Today, you’ll see much more relevant results in a fraction of the time. On average, our new search is 2x faster than the previous version, in other words, you spend less time hunting and more time doing!
  • Revamping the Command Center: We rebuilt the Command Center and combined it with Search to create a single sleek interface for searching and running commands. You can now easily create a new task, doc, or reminder in seconds. Our goal is for ClickUp to have the world’s best integrated-search experience.
  • Faster Notifications: We are making notifications more performant by cleaning up our massive database. In doing so, we will be better equipped to scale the platform long-term. Immediately you will receive notifications 30% faster. We’re also redefining how we retrieve notifications in our database, to help you better stay on top of your work.
  • Mobile App Revamp: Accessing work on the go is a critical feature for today’s hybrid and remote teams. With that in mind, we increased the speed at which you can access and interact with the ClickUp mobile app 2,000x both online and offline. We are continuing to enhance the offline performance of the app for enhanced reliability anywhere you need to use it.

Listening and Acting

As I’ve mentioned before, we want to reassure you that we are listening and working hard on your requests. We’ve seen your feedback on features like Automations, Dashboards, and platform refresh issues and can assure you that they are on the product roadmap and in the process of coming to life.

We have already re-architected our Dashboards so that the widgets operate more smoothly and are almost done with revamping our WebSockets so that refresh issues will be obsolete. We hope that you’ve already been able to experience the benefits of this work and we’re confident that you’ll continue to see ongoing improvements.

We are so proud of the work that has been done, but it’s important to acknowledge that these projects take time to complete. We are committed to making substantial, high-quality improvements that will stand the test of time and are doing so quickly and efficiently.

If there was one overarching theme for this year’s Super Bowl and its commercials, it was nostalgia. 

Budweiser brought back the Clydesdales. Mike Meyers brought back Dr. Evil. We got throwbacks to The Sopranos, Scrubs, and Lindsay Lohan. As for the half-time show? Every millennial watching was suddenly transported to one hell of a middle school dance. 

At ClickUp, we took it way beyond the early 2000s for the Super Bowl—to the late 1700s, in fact. But to make it happen, we had to embrace the here and now in our very own cutting-edge platform: ClickUp!

The Game Plan

There was just one thing we knew for sure going into the concept phase of our commercial: it had to show that ClickUp treats both productivity and fun with equal reverence…and it had to be unique.

The final idea was to show an alternate reality where our Founding Fathers almost lost their countless handwritten pages declaring independence from British tyranny—until John Adams swooped in with ClickUp to save the nation!

But who would fill the shoes of such iconic figures? Not famous actors, according to our Chief Creative Officer, Melissa Rosenthal. “Celebrities can do one of two things,” says Melissa, “They can add to an ad, but they can also kind of detract from it depending upon who you choose.” It was decided that the concept was not only strong enough to deliver sans celebrity, but keeping the cast largely unknown wouldn’t risk distracting viewers from the message. Plus, it minimizes the budget so the funds can go towards the overall production.

Did we mention we produced this commercial entirely in-house?

The First Quarter 

Once pre-production was done, it was time to shoot the spot. “It’s not an easy task to find a property in Southern California that has the bones to turn into 1776 Pennsylvania, but our amazing producer Francesca made it happen,” says Nick Fabiano, ClickUp’s Head of Video and our commercial director. 

The footage itself was, amazingly, shot in just one day. “Actually, most of the day consisted of getting every actor through placement, make-up, and wardrobe because we wanted to be as accurate to the era as we could,” says Fabiano. “Once we were ready, the filming only took five hours!” 

The crew, producers, and talent alike all followed strict COVID-19 safety protocols…which created a visual anachronism that we won’t soon forget.

Tackling The Tasks

Once filming wraps on a commercial, the work is only about halfway done. While the shoot might have been done in one day, post-production took three weeks of tireless work from ClickUp’s video editors, animators, and producers before being passed on to the marketing team to blast off.

Alan Loayza, our Director of Production, knew perhaps more than anyone the importance of organization for such a big feat. “Organizing every step of the ad from development through delivery requires so many teams being on the same page. Accounting, finance, social, distribution, legal, and all the script and edit approvals…it’s easy to see how this can be a large mess without the right tool.”

“ClickUp makes it come together so easily with everything in its right place, and for a project like this with so many stakeholders involved and so much money invested, it really couldn’t have been done without our product,” Loayza said.

Post-Production Supervisor, Rodney McMahon, says he couldn’t have gotten it done without subtasks in ClickUp. “I keep it pretty simple while working in ClickUp and mainly use subtasks to build out our timelines,” he tells me. 

As for Nick Fabiano, it’s the people plus the platform that led us to our win. “Using our software was crucial for planning and organizing, but this couldn’t happen without my super-talented and hilarious co-workers. I have to agree with Nick there. As a writer and creative who had worked on a Super Bowl campaign at an actual ad agency before coming to ClickUp, the difference in efficiency, communication, and creativity between the two is night and day: The fancy ad agency had absolutely nothing on ClickUp in terms of tools and team spirit.

Even though I’m not on the video team, I had visibility on everything since the day Paul Costabile—who played the hilariously-hairlined John Hancock in our commercial—finished the script and looped me in for my input. With a few clicks on a few tasks, I could see exactly how production was moving along, and if I could see it, that means the people who needed to could as well.

After the three long weeks of painstaking post-production (Did you know that every time you see a laptop screen in the commercial you’re seeing hours of frame-by-frame motion graphic animation added to the video?!) It was time to start getting the word out about our upcoming Super Bowl spot, and that’s where the high visibility between departments really paid off.

Along with blogs like this one, I also craft much of the advertising copy for our campaigns—this one was no exception! Because I could easily follow every task and could communicate from my home in Los Angeles to the crew in San Diego in ClickUp, I was able to do my duties with zero blockers. Zero.

At my former ad agency, we didn’t have a solid work management system where all of our tasks and teams could live in one united place, so suffice it to say, that experience spooked me from working on another Super Bowl commercial any time soon. I’m so glad that I got to see that when it comes to a huge project, it’s not about the funds, it’s about the foundation—and ClickUp gave us all the tools we needed to build our own success, in-house.

Good Game, Everyone

Super Bowl ads are designed to get your attention, but if the product they’re selling isn’t everything that’s promised, it can be a disaster. That’s why we put our money where our mouth is and relied on our own product to get our ad from little concept to live commercial—with every team member on the same page every step of the way.

It’s amazing to have a platform that helps us do everything we need in one place, but it’s the creative, hilarious, open-minded humans at ClickUp who utilize the technology that help us connect with people the way we do.

We’re really proud of pulling off a stunt like this, but it means far more to us to see that it helped a ton of new people find a new way to save time and be more productive.

When it comes to the Super Bowl, there are 3 aspects that get people buzzing: the big game, the half-time show, and the commercials.

It’s nuts how commercials—ads that are usually seen as annoying interruptions to our content—have become as exciting to watch and talk about as the game itself. While not all of them are winners, the ones that hit the mark can go down in pop culture history.

As a Chief Creative Officer, making a Super Bowl commercial is a career milestone—but as a regular person who looks forward to those unpredictable tv spots as much as anyone else, my in-house team and I had one goal: to make something that made us laugh.

One major thing that sets ClickUp apart from other productivity platforms is definitely our sense of humor. Ads for work software have always been so buttoned-up, so sterile, so corporate! If our eyes are glazing over, your eyes are probably glazing over. Why not lean into the humor and relatability of everyday work struggles that can be solved with one platform?

But this is the Super Bowl, and we had to bring our A-game. Thanks to iconic workplace comedies like The Office, Parks and Recreation, and Silicon Valley, it didn’t feel like enough to just stand out by having a sense of humor about work struggles and frame ClickUp as the solution. Sure, that’s great for a YouTube ad, but this is the major leagues; risks had to be taken.

After a ton of brainstorming, we came up with a concept unlike anything we’ve ever done or seen done by competitors: “Wouldn’t life be easier throughout history if they had been using ClickUp?”

The result is a 30-second spot that brings us back to a time before the Internet—before electricity, even—that tells a viewer what ClickUp is, what it does, and who we are. And most importantly, it made us all laugh.

One of the best parts about having this small but brilliant in-house creative team of writers, directors, actors, and more is that we all can get into a room together and riff on ideas, dig into the ones we all love, polish them up, then present them around to people in other departments to make sure we’re hitting the mark outside of our little incubator.

We’re so excited to be able to present our labor of love to the biggest national stage. ClickUp’s mission as a company is to make the world more productive and save people time, and we can’t think of a better time to introduce ourselves to millions of new people than during one of the best days of the year to kick back, relax, and have fun.

At ClickUp, we’re constantly striving to surprise and delight you with features, content, and events that you never saw coming but now can’t live without—the same inspiration that led to our first major launch of 2022, When It Clicked. 💜

On Tuesday, January 18th, we released the first installment of something we’ve been quietly working on for over a year—our first original podcast!

We’re not the first startup to produce a podcast, but we pursued this new project as a challenge and opportunity to push the limits of our creativity and take it in an entirely different direction. Meaning you shouldn’t expect a podcast that’s all about ClickUp.

Creating a podcast was like embarking on uncharted waters for us, which was half the fun of it! If you haven’t already seen it blasted over social media or in your recently played queue, When It Clicked brings you the voices and minds behind products you think you know, uncovering the secret histories of how it all came together—to the one moment when it all, finally, clicked.

We wanted to achieve that peel back the curtain feeling with some of the very real but surprising challenges, motivations, and perseverance of now-household names that you would never expect.

Sounds cool, but why did we do this?

We love looking for potential new ClickUppers in places that we also love.

In recent years, this meant sharing advertisements on some of our favorite podcasts and for a while, it was great! Until we realized something pretty important…

We wanted to be more active in the conversations that we were paying to be a part of, and we wanted to highlight the people who don’t normally get all the glory or who took unconventional paths to make their dreams a reality. (Kind of like us.) 🥲

As a user, follower, or reader, you’ve already seen, heard, and used the resources we created to help you thrive in ClickUp, but When It Clicked is our way of inspiring your productivity beyond the screen.

We set out to create something that was as much of a source of knowledge as it was a source of entertainment, and the end result was a series highlighting something bigger than project management and ClickUp altogether: The unique pursuit of something you believe in.

We like to think of When It Clicked as our own little entrepreneurial cocktail; equal parts creative and investigative. 🍸

But what we love most about When It Clicked—and we cannot stress this enough— is that this podcast is for everyone.

We mean it, everyone. For seasoned professionals and young creatives, for people with dreams they’ve never said out loud, and for podcast junkies who love getting hooked on a new series. You never know, these stories might make things click for you too. 😉

Every choice we make at ClickUp is rooted in our mission of making the world more productive—to save people time to focus on the things they care about most, and When It Clicked is a direct extension of that very promise. But I think our CEO, Zeb Evans, said it best:

And just like that, we closed the book on another year—and what a year it was!

2021 will go down in history as the year therapy made its official comeback, we started processing 2020, and Britney was finally set free.

It may also be remembered as the year we nearly broke the supply chain ordering Squid Game jumpsuits for Halloween and streamed Red (Taylor’s Version) 90.8 million times in a single day. Talk about an emotional roller coaster. 🥵

But for us here at ClickUp, 2021 was the year that we seriously got sh*t done. 🙌🏼

The end of the year is the perfect time to reflect on all that you’ve accomplished in the past 12 months—the good and the bad—because it all led you to where you are now, and that my friend, is exactly where you’re meant to be. 🧘🏻‍♀️

As a platform that prides itself on saving our customers one day a week, one of our favorite year-end past times is to look back on that very thing. So, how many days did we save?

We started 2021 focused on growth and set our sights on hiring the best of the best! And holy guacamole did it pay off. 🤩

With the future of work facing a pivotal (and exciting!) transition, we could really think big when it came to our hiring efforts and expand our global presence in a major way. Now, we have a dedicated team of ClickUppers spreading the good word of productivity far and wide! Frfr!

Since January we’ve welcomed 674 new team members, and it’s still just the beginning! We can’t wait to welcome even more amazing members to this ClickUp fam starting first thing in January.

February

February is a month we hold near and dear to our hearts because it holds one of our favorite days of the year: Random Act of Kindness Day, on February 22nd.

Random Acts of Kindness is one of ClickUp’s nine core values, and something we try to implement in some way every day.

The ClickUp crew takes kindness very seriously. We believe that it comes in many forms whether it’s by donating to a good cause or making someone’s day.

While it’s preferred to share our kindness anonymously, what we can say is that ClickUp has contributed millions of dollars in donations, food, toy drives, raffles, and care packages. Plus, we’ve shared our time through organized beach clean-ups, sponsored families, offered loans on Kiva, and more!

At the peer-to-peer level, ClickUp also encourages all of us to show kindness to each other!

ClickUp’s Karma system is one way we like to show our appreciation for the things we all do on a daily basis, big or small. Think of Karma points as a virtual hug or high five. 🤗

After completing a major task, or getting a surprise reward for tackling something new, Karma points are a great way to show team members far and wide that you see the work they do and a reminder that their efforts don’t go unnoticed. And for our growing team where the majority of our employees are remote, that camaraderie goes a long way. 💜

To date, the ClickUp crew has awarded over 446,000 Karma points to each other! I guess here at ClickUp, we are all each other’s biggest fans.

As they say, you only start winning once you learn how to root for others! What can you do to make someone’s day today?

In 2021, we continued to release new features and updates each week, including Email in ClickUp!

As much as we try to fight it, email is likely here to stay. Not to say that ClickUp can’t still make it a little easier for you though!

Now, the Email ClickApp enables you to seamlessly integrate your email communication into ClickUp, allowing you to manage your conversations right alongside relevant work without ever having to tab again!

This has been a game-changer for us, but the Email ClickApp was just the first of many new ClickUp tools announced in 2021.

April

The city of San Diego means a lot to all of us here at ClickUp.

It’s the home to our headquarters, tons of our team, and has played a big role in growing our identity.

We were thrilled to announce our official partnership with The San Diego Padres—one of the most iconic (and currently, the only!) professional sports teams in America’s Finest City.

Since April, ClickUp has helped the Padres power the team’s IT operations to consolidate and manage all of its work in one easy-to-use platform. ✅

The Padres are one of ClickUp’s cherished partnerships, but not the only one we’ve proudly added since the New Year! In the last 12 months, ClickUp has added 98 new partnerships ranging from TV studios, academic programs, tech startups, nonprofits, and more!

Previously, English was the only natively supported language in ClickUp. Now, we’re in the process of globalizing the entire ClickUp platform to provide you with a trustworthy translated experience.

Every engineering article that’s written comes with a little window into the mind and voice of a unique person working to build the future of ClickUp. In aggregate, we hope to show you who we are, what our culture is like, and why we’re so passionate about bringing you the best experience!

Much of our growth as engineers can be attributed to the rich resources created by the broader engineering community. In fact, our chats are often buzzing with other interesting articles, tools, videos, and more shared by engineers around the world! We’d love to play a part in this awesome community of learning and growing. One of our core values is to grow 1% every day, and with that comes the desire to help others to do the same!

Create another outlet for showing off cool work 🤩

There’s often a lot of really cool stuff our engineers work on that isn’t quite visible to the outside world. This could be anything like internal tooling, code excellence improvements, tricky debugging, organizational processes, and much more! While we certainly celebrate these inside the company, we think there’s a certain excitement to sharing externally. Through this extra medium, we hope to give folks another space to take pride in their accomplishments, no matter what domain!

Attract engineering talent 🧑‍💻

During our hiring process, we get a lot of common questions from prospective engineering candidates:

What’s the engineering culture like? What are some of the challenges ClickUp’s infrastructure faces? What kinds of problems are engineers working on today?

And in these types of questions, we’ve found lots of positive discussion both from candidates and interviewers. By blogging about engineering, we hope to cover these topics and beyond! This not only gives interested candidates a way to learn more, but it also has the potential to attract new candidates who share similar passions with our engineers!

Document the story of our engineering journey ⛵

There’s a saying here that every month in engineering is completely different. This comes from our culture of relentlessly iterating and transforming to better deliver on our mission. We expect change to come, and for the better—after all, that’s what growth is all about!

Still, while we are always excited for the future, it’s a blast to reminisce about the past! It’s great having chatter about some of the pivotal moments throughout our engineering journey, and it would be even greater to officially preserve that journey. This also has the added benefit of providing new hires with excellent reading material for historical context.

Reflect, learn, and progress toward perfection 🏔

Another of ClickUp’s core values is progress toward perfection. A big part of progressing forward involves reflecting on the past and present. How did things go? What were the wins and the mishaps? What can be done better in the future?

There’s absolutely an extra clarity that comes with writing out reflections, especially when that writing is out in the open. Nothing groundbreaking here—this is often cited by bloggers everywhere as one of the reasons for writing (and I feel it now as I type these words)!

Additionally, public blog posts naturally open the door for feedback. Here at ClickUp, we live, breathe, and strongly welcome feedback because it truly does help everyone progress toward perfection.

5. Speaker Highlights We’re Still Talking About 🎤

🎥 Organizational Psychologist Adam Grant on The Power of Knowing What You Don’t Know

In 2018, Adam Grant pitched a Remote Friday experiment to a handful of CEOs. He shared extensive studies that showed that as long as people are in the office half the week, they can be more productive, satisfied, less likely to quit, and there’s no cost to collaboration. 🤝

The pitch didn’t go well with the CEOs. They were convinced that culture would fall apart and employees would procrastinate. Years later, a “global experiment no one consented to” forced organizations to shift to remote work. Today, many of those leaders have now committed to being remote or hybrid first.

Adam Grant shares insights about how we can be quicker to think again in a rapidly changing world:

  • Think like a scientist to improve your quality of decision making (don’t let your ideas become your identity)
  • Three reasons why group brainstorming does not work:
    • Production blocking: some ideas get lost, and we all can’t talk at once
    • Ego threat: we hold back on our original ideas
    • Conformity pressure: instead of a diversity of thoughts, a bunch of “groupthink”
  • Try “brainwriting”: give people the problem in advance to generate their ideas independently, which provides variety, quantity, and quality
  • We have to be thoughtful about the dynamic between asynchronous or synchronous communication to get everyone on the same page before project planning
  • Make time for informal interactions to seek tips from people outside your department and learn something different
  • One of the ways to fight Zoom fatigue is finding times where cameras can be turned off to remove image pressure
  • Rethink “best practices” by inviting everyone to test out better practices

“When you think about processes, you want to do things where it’s just enough for the organization. Just enough to solve the current problem. And then, as you go, you solve the next problem. You don’t over-engineer it too much because that can disrupt the flow and how things go.

Vrushali dives deeper. “Usually, at startups, there is a certain amount of flexibility in how things are done. People take on different responsibilities; they wear different hats, which is one reason why startups succeed. And you don’t take all that magic out and just introduce a lot of rigor everywhere to make things efficient.”

  • As a leader, you should have a good understanding of the team technology so that you can make the right decisions as you go along

“You want to make sure that every team has an area where they feel a sense of ownership. That they are empowered to own or make all the decisions in. It’s exciting and challenging… and it’s something that will stretch the team. There’s another aspect of the charter which is every team, and every organization has technical debt.”

She continues, “That will be part of every team, but you don’t want to saddle one team with technical debt and have one team that is doing everything new. So for every team you have, you usually want to balance the amount of technical debt they’re handling with something exciting they can look forward to.”

The Whiteboards feature slated to release “soon,” but we were all surprised when Zeb walked on stage and said, “ship it.”

“People are wasting time between so many different applications. And on top of that, with the pandemic, we’re also seeing people sprawl.
